Agents

In addition to their User record, users must also be assigned a 4-digit Agent ID, which is used to link users to accounts and track actions in the system. The system also provides granular control over access to view screens and perform functions and the agent and group level.

System users can be authorized for security access to view screens or perform system functions at a group level as well as by individual agent ID.

The system recognizes five types of agents.

  1. Manager: Generally assigned more security privileges than any other group type. Reporting for collector agents roll up under Manager ID.

  2. Collector: Agent

  3. PPA: PPA Collector—accounts that have partial payment arrangements made will be automatically assigned to this agent type (designated in office set up or system default)

  4. Clerk: Ability clerical functions in the system

  5. Auditor: Client Auditor—view access only

In addition to Agent ID’s being assigned to users, the 4 digit ID can also be designated as a HOLD queue or “pool” for accounts not yet assigned to a collector or for external agency accounts.

  1. Hold Queue: For accounts that are in any type of hold status

  2. Servicer: External Servicer hold queue

  3. New Business Pool: New accounts for a client will be assigned to this type of queue.

The Agents index page is a filterable, sortable list of all the agents in the system. Use the icons in the last column to view, update or delete an agent. Use the Create link the operations menu to add a new agent to the system.

When you create or update an agent you will have access to three tabs. Use the Agent Info tab to update basic information about the agent, including ID, Name, Initials, Telephone, etc. Where present, hover over the tooltip icon for more information about the field.

Use the Account Assignment tab to control whether and which types of accounts are assigned to the agent at placement.

Use the Security tab primarily to control security settings and set the security groups to which this agent should have access.

Many customers have found our current agent-based security model to be overly complex. Over time, we will transition to relying solely on the simpler model that controls User access to screens and features.

The Other tab is only available to System Admin users.
